About the Firm
Gomez Law, APC is a real estate litigation firm based in Los Angeles. The firm operates a modern technology stack including Clio, Lawmatics, Pipedream, n8n, and Claude-based AI tools to support a high-volume practice. We are seeking an Operations Coordinator to support the Operations Manager and contribute to the day-to-day execution of firm operations, reporting, and automation initiatives.
Position Summary
The Operations Coordinator is a remote, full-time role supporting firm-wide operations across intake, reporting, automation, marketing, and HR. The position requires strong organizational skills, attention to detail, and hands-on experience with workflow automation platforms. The Coordinator will work directly with the Operations Manager to maintain internal systems, produce reporting, and improve operational efficiency across departments.
Key Responsibilities
Intake & Client Operations
1.) Conduct daily audits of intake leads in Lawmatics to ensure data accuracy, response time compliance, and complete follow-up records
2.) Coordinate intake handoffs between intake specialists, attorneys, and paralegals
3.) Maintain intake performance scorecards and produce weekly performance reports
4.) Support the firm's AI receptionist workflow by reviewing call logs and identifying process improvements
Reporting & Data Management
1.) Extract and clean data from Clio, Lawmatics, and other firm platforms for weekly and monthly reporting
2.) Maintain the firm's KPI dashboard, including billable hours, consultations, signups, NPS scores, and online reviews
3.) Build and maintain Google Sheets dashboards using formulas, pivot tables, and formatting standards
4.) Identify trends and surface actionable insights to the Operations Manager
Automation & Internal Tools
1.) Build, maintain, and document workflows across Pipedream, n8n, Lawmatics automations, Clio automations, and other platforms as needed
2.) Use Claude Code or similar AI-assisted development tools to support internal scripting, dashboards, and small applications
3.) Maintain standard operating procedures (SOPs) and process documentation for all automated workflows
4.) Perform QA testing on new internal tools prior to firm-wide deployment
5.) Identify and propose automation opportunities for manual processes
Marketing & Brand Support
1.) Coordinate social media content calendars and scheduled posting
2.) Support production of short-form video content, flyers, email campaigns, and marketing one-pagers using firm brand standards
3.) Track client review generation and coordinate NPS outreach campaigns
HR & People Operations Support
1.) Coordinate new hire onboarding, including account provisioning, documentation, and training scheduling
2.) Maintain the staff handbook and internal policy documentation
3.) Support team events, recognition programs, and culture initiatives
4.) Assist with scheduling and follow-up tracking for performance and development meetings
Required Qualifications
1.) Minimum 1 year of experience in operations, administration, paralegal work, marketing coordination, or executive assistance
2.) Hands-on experience with at least one workflow automation platform: Pipedream, n8n, Zapier, Make, or native Lawmatics/Clio automations
3.) Proficiency in Google Workspace, particularly Google Sheets (formulas, pivot tables, vlookups)
4.) Strong written communication skills
5.) Demonstrated organizational skills and ability to manage multiple concurrent priorities
6.) Ability to learn new software quickly and independently
7.) Reliable remote work environment, strong internet connection, and availability during Pacific Time business hours
Preferred Qualifications
1.) Experience with Claude Code, Cursor, or other AI-assisted development tools
2.) Experience across multiple automation platforms
3.) Direct experience with Clio and Lawmatics
4.) Familiarity with Google Apps Script, JavaScript, SQL, HTML, or CSS
5.) Understanding of APIs, webhooks, and JSON
6.) Experience with Canva, CapCut, or similar design and video editing tools
7.) Spanish language proficiency
8.) Prior experience in a law firm or professional services environment
