Virtual Executive Assistant to the CEO & GM


Are you a highly organized, proactive professional who thrives on making things happen? Our AU-based partner is a fast-moving creative agency looking for a Virtual Executive Assistant to be the operational backbone for our Director/Founder. This isn't a typical team support role; you will be the single point of leverage for our leader, focused entirely on managing their time, communication, and task flow.


Your mission is to free our Director from day-to-day bottlenecks, allowing them to focus on what they do best: strategic leadership, business development, and creative direction.


This is a full-time, onsite role with day-shift hours, located at Park Central Building in IT Park, Cebu.

Responsibilities:

  • Executive Flow Management: Take full ownership of the Director's schedule and tasks, ensuring nothing falls through the cracks. You'll anticipate needs, manage priorities, and maintain a seamless workflow.
  • Inbox & Communication Mastery: You'll be the gatekeeper of the Director's inbox, triaging emails, drafting responses, and converting key messages into actionable tasks. You'll proactively filter out noise while surfacing critical information.
  • Sales & Admin Support: Keep the sales pipeline running smoothly by updating our CRM (Pipedrive), preparing sales decks, and tracking follow-ups. You'll be instrumental in maintaining momentum and continuity in sales conversations.
  • Light Marketing Admin: Help with social media scheduling and content management, ensuring our communications are consistent and timely.


Qualifications:

The ideal candidate is a calm, solutions-oriented individual with a strong sense of ownership. You have a knack for organization and an incredible eye for detail.

  • Proven Experience: You have a track record of at least 2 years of successfully managing the time and inboxes of fast-moving executives or founders.
  • Exceptional Communication: Your written communication is impeccable, and you are comfortable writing on behalf of a creative leader.
  • Tools & Tech Savvy: You're a pro with tools like Google Workspace, Slack, and are comfortable with CRMs like Pipedrive.
  • Confidentiality & Professionalism: You handle sensitive information with the utmost discretion and are a trusted, reliable partner.
