About the role

Scale Your Business School is a business education program for women running online service businesses. We're hiring a fully remote Executive Assistant to support the founder directly — owning the calendar and inbox, keeping the content production pipeline on schedule, and coordinating a small remote team. You'll be the person who anticipates the next step, fixes problems before they reach the founder's desk, and keeps everything running smoothly.


What you'll do

Calendar & scheduling

  • Own and protect the calendar — filming days, coaching calls, meetings — including a split routine between New York City and Pennsylvania.
  • Schedule with the right buffers; never let anything important collide or slip.

Inbox management

  • Keep both personal and business email accounts to a clean state daily — triage, respond where you can, flag what needs the founder.

Team coordination

  • Keep the team on deadline through the approval pipeline — editors, Colleen, Clarissa, Martha — so reels and content stay on schedule.

Production & hiring support

  • Run the videographer hiring workflow and keep the videographer database current.
  • Verify locations are open and available before any shoot.

Travel & operations

  • Book and coordinate travel; handle day-to-day operational tasks and follow-ups.

Systems & documentation

  • Keep SOPs, trackers, and systems organized and up to date.

What we're looking for

  • Exceptionally organized, dependable, and proactive — works with minimal hand-holding.
  • A problem-solver who fixes the system, not just the moment.
  • Comfortable with technology — Google Workspace, Notion, Dropbox, scheduling tools — and quick to learn new platforms.
  • Available with reliable overlap to US Eastern business hours.
  • Discreet and trustworthy with sensitive personal and business information.

Bonus points

  • Experience in the online coaching, content, or creator industry.
  • Familiarity with tools such as CapCut, Kit, TurboScribe, or Telegram.
  • Project management or production coordination experience.
  • A genuine interest in content, social media, or the business education space.
