Job Description: Real Estate Virtual Assistant/Transaction Coordinator
Position: Virtual Assistant (Part-time, ramping quickly to Full-time)
Location: Remote (Philippines)
Time Zone Requirement: Pacific Time (California, USA)
Pay: $7-9/hour with $50 transaction coordination bonus for each file completed
About the Role
I am a top-producing real estate agent specializing in the Los Angeles, California area. I am looking for a highly organized, proactive, positive and professional Virtual Assistant to grow with, and be an integral part of my team. This role is essential to the smooth operation of my business.
The position will start as part-time and is expected to ramp up to full-time within 6 weeks.
**Important:** This is a dedicated, full-time career opportunity. I expect my assistant to work exclusively for me and not hold other jobs. You must be available during California business hours to manage time-sensitive tasks effectively. This will become a 40-hour work week once the initial ramp up period has passed. I need someone who is flexible and will take on new projects when asked.
Key Responsibilities
- Transaction Coordination: Assist with the end-to-end management of real estate transactions. (Experience with California real estate transactions is highly preferred but not mandatory).
- Social Media Management: Create engaging social media content using Canva and manage the posting and scheduling of content across platforms.
- Client Relations & Gift Management: Proactively manage the post-meeting follow-up process, including sending thank-you gifts to contacts made at professional functions.
- Networking & Introductions: Facilitate professional connections by proactively introducing individuals who could benefit from knowing each other.
- CRM Management: Maintain and update my CRM (Client Relationship Management) system to ensure all client data, follow-ups, and notes are accurate and current.
Requirements
- MUST have prior experience in real estate transaction coordination.
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Strong proficiency in Canva for design and social media scheduling tools.
- Strong proficiency in Outlook, Zip Forms, DocuSign, MLS and the full Google Suite
- Familiarity with CRM software.
- Ability to work and be responsive during California business hours (Pacific Time) is non-negotiable.
- Exceptional organizational, communication, and follow-up skills.
- High level of integrity and professional maturity.
- Reliable high-speed internet and a quiet workspace.
