I run an established contracting business in Australia and am about to launch a new physical product to market. I need one experienced, reliable person to manage the admin side of the contracting business now, with a genuine, stated intention to grow this role into full-time as the product launch progresses.
This is not an entry-level admin role — I need someone who can genuinely own it, work independently once trained, and use good judgment rather than just follow instructions.
Immediate responsibilities (contracting business):
- Manage and maintain our Xero account — invoicing, bill entry, reconciliation support
- Review AI-generated invoices against job files for accuracy before finalization
- General office/admin management — scheduling, correspondence, records
Growing responsibilities (as the product launch progresses):
- Assist coordinating with our overseas manufacturer on production and quality checks
- Support a crowdfunding-style product launch — customer messages, order tracking, community engagement
- Ongoing customer service and warranty support once the product is selling
- Basic sales support and order administration
Requirements:
- Minimum 2+ years demonstrable Xero experience — please detail specific tasks you've handled, not just "Xero experience"
- Strong written English and clear communication
- Proven ability to work independently and reliably with minimal day-to-day supervision — please include a reference from a previous employer who can confirm this specifically
- Comfortable reviewing AI-generated invoices/documents for accuracy
- Detail-oriented — you'll be asked to complete a short paid test task before any ongoing commitment
To apply, please include:
- Your specific Xero experience (tasks, tools, how long)
- A previous employer reference we can contact
- One sentence on why a role that grows into full-time, long-term, appeals to you right now
If you're an experienced senior bookkeeper/office manager with a track record that justifies a higher rate, apply anyway and include your rate expectation — open to the right person at the right price if it's backed by real experience.
