Marketing & Sales Operations Specialist

About the Position
LEAP Mentality is looking for a Marketing & Sales Operations Specialist to manage the day-to-day systems that support the growth of Jump Lab Academy, our virtual coaching program for long jump and triple jump athletes.
Our core marketing and sales infrastructure is already built. We have paid advertising, funnels, Close CRM, Zapier automations, a setter and closer process, scripts, follow-up systems, and KPI tracking in place.
We are not looking for someone to rebuild everything.
We need someone who can learn the existing system, take ownership of it, keep it running correctly, identify problems, and continuously improve performance.
This is not a traditional virtual assistant position.
You will be responsible for making sure our marketing and sales operation runs smoothly from the moment a prospect sees an advertisement until they become a customer.
The right person is organized, analytical, proactive, comfortable with technology, good with people, and able to solve problems without waiting for the founder to provide a daily task list.
Your Main Objective
Your job is to help create a predictable marketing and sales system where:
Ads generate leads → leads enter the correct systems → leads are contacted → qualified prospects book calls → calls are attended → prospects are followed up with → sales are made → performance is measured and improved.
You are responsible for making sure that process is operating correctly every day.
You are not expected to personally perform every task in the process.
You ARE expected to know what is happening throughout the process and identify when something is not working.
1. Paid Advertising
You will help manage and monitor our Meta advertising campaigns.
Responsibilities include:
• Monitoring active campaigns in Meta Ads Manager
• Tracking daily and weekly ad spend
• Monitoring cost per lead and other key advertising metrics
• Watching for sudden changes in campaign performance
• Identifying ads or creatives that are performing well or poorly
• Helping determine when new creative is needed
• Coordinating new advertising assets with Coach Keinan and our video editors
• Helping develop new hooks, angles, scripts and ad copy
• Organizing creative testing
• Maintaining clear records of what is being tested
• Reporting advertising performance each week
You should not simply report that performance dropped.
We expect you to investigate why it may have dropped and recommend what should happen next.
Major changes to budgets or strategy will require approval.
2. Funnel Management
You will monitor the customer journey from advertisement to booked sales call.
This includes:
• Landing pages
• Quizzes and assessments
• Forms
• Applications
• Scheduling pages
• Pre-call pages and materials
• Tracking and attribution
You will monitor conversion rates between each stage and identify where prospects are dropping out.
For example, if 500 people become leads but only 50 complete the next step, you should recognize that there may be a problem and investigate it.
Your responsibility is to continually look for opportunities to improve the customer journey.
3. Close CRM Management
Close CRM is the central system used by our sales team.
You will be responsible for keeping it organized and functioning correctly.
This includes:
• Making sure new leads enter Close correctly
• Maintaining pipelines and opportunity stages
• Maintaining tags and lead sources
• Making sure leads are assigned correctly
• Monitoring sales activity
• Keeping lead information organized
• Making sure prospects are moving through the pipeline
• Identifying leads that have not received proper follow-up
• Maintaining reporting and attribution
• Helping maintain email and SMS follow-up systems
The CRM should always give us an accurate picture of what is happening inside the sales pipeline.
4. Automation Management
We currently use Zapier and other automations to connect our systems.
You will be responsible for monitoring these automations and making sure they continue working correctly.
This includes:
• Monitoring active Zaps
• Troubleshooting failed automations
• Testing lead routing
• Making sure forms and funnels communicate correctly with Close
• Checking that lead information is transferred correctly
• Maintaining documentation of important automations
• Identifying opportunities to automate repetitive tasks
If an automation stops working, we expect you to identify and address the problem quickly.
5. Setter Management
We have a setter responsible for contacting leads and qualifying prospects.
You will monitor setter performance and make sure leads are being worked properly.
This includes tracking:
• New leads assigned
• Calls/dials made
• Contact rate
• Follow-ups completed
• Conversations
• Qualified prospects
• Calls booked
• Outstanding leads
If we generate 100 leads and only 40 are contacted, you should recognize the problem before the founder has to ask about it.
You will help hold the setter accountable to established KPIs and make sure opportunities are not being lost because of poor follow-up.
6. Closer / Sales Performance
We also have a closer responsible for enrollment calls.
You will help monitor the performance of the sales process.
This includes:
• Calls booked
• Calls attended
• Show rate
• Qualified calls
• Sales made
• Close rate
• Follow-up opportunities
• Cash collected
You are not necessarily responsible for personally closing sales.
Your responsibility is to understand whether the sales system is performing and help identify where improvements may be needed.
For example, if show rate or close rate suddenly drops, you should investigate the numbers and help determine why.
7. Sales Team Accountability
You will help keep the setter and closer aligned with the process.
This may include:
• Weekly sales huddles
• Reviewing KPIs
• Following up on incomplete tasks
• Maintaining scripts and playbooks
• Making sure follow-up is happening
• Identifying training needs
• Reviewing sales calls when necessary
• Communicating problems to Coach Keinan
• Helping implement improvements
You are expected to lead through organization, communication, data and accountability.
8. Weekly KPI Reporting
Every week, Coach Keinan should be able to quickly understand the health of the marketing and sales operation.
You will maintain a simple weekly scorecard covering metrics such as:
Marketing
Ad spend
Leads generated
Cost per lead
Funnel conversion rates
Setter
Leads contacted
Contact rate
Follow-ups
Qualified prospects
Calls booked
Sales
Calls booked
Calls attended
Show rate
Close rate
Sales
Cash collected
Overall Performance
Customer acquisition cost
Revenue generated
Major bottlenecks
Important changes from the previous week
The report should not simply contain numbers.
You should also be prepared to answer:
What is working?
What is not working?
Why do you believe it is happening?
What should we change or test next?
9. Creative and Marketing Coordination
Coach Keinan is the face of the company and will continue creating much of the core content and recording advertisements.
You will help turn those ideas and recordings into campaigns.
That may include:
• Researching new advertising angles
• Developing hooks
• Drafting scripts
• Writing ad copy
• Organizing creative requests
• Sending footage to editors
• Reviewing completed assets
• Organizing creative files
• Launching approved creative tests
• Tracking which creatives perform best
You should help make the creative process organized and consistent so new ads do not depend on Coach Keinan remembering every step.
10. AI Usage
AI is an important part of how we want to operate the company.
You should be comfortable using ChatGPT and similar tools for:
• Marketing research
• Competitor research
• Ad concepts
• Hooks and copy
• Script development
• Sales-call analysis
• KPI analysis
• Email and SMS drafts
• SOP creation
• Reporting
• Troubleshooting
• Brainstorming
• Process improvement
We do not want someone who simply copies and pastes AI responses.
We want someone who understands the business well enough to use AI to work faster and make better decisions.
What Coach Keinan Will Own
You are not expected to run the entire company.
Coach Keinan will continue to own:
• Company vision
• Brand
• Coaching methodology and intellectual property
• Jump Lab Academy offer
• Program fulfillment
• Coaching athletes
• Content creation
• Recording ads and marketing content
• Major partnerships
• Major pricing decisions
• Major budget decisions
• Final strategic decisions
Your job is to make sure the marketing and sales operation surrounding those things runs effectively.
What Success Looks Like
Success in this position means Coach Keinan does not have to constantly check whether things are being done.
He should not have to ask:
“Did someone follow up with those leads?”
“Why did our CPL increase?”
“Did that Zap break?”
“Did the closer follow up?”
“How many calls did we book?”
“Where did these leads go?”
You should already know.
Ideally, you are bringing the problem and a recommended solution before Coach Keinan even realizes there is a problem.
Ownership
Ownership is the most important quality we are looking for.
If you see a problem within your responsibilities, investigate it.
If you know how to fix it within your authority, fix it.
If you need approval, bring the problem along with your recommended solution.
If you discover something important that is clearly outside your role, communicate it before taking on a major new responsibility.
We value initiative, but we also value communication.
New responsibilities, major expenses, new contractors, significant advertising budget changes, or major changes to the business should be discussed and approved before implementation.
Taking on additional work does not automatically change compensation. Material changes to the role or compensation must be agreed upon beforehand.

• Google Sheets
• Google Drive / Workspace
• ChatGPT and other AI tools
• Online funnels and landing pages
• Calendaring/scheduling systems
• KPI dashboards and reporting tools
You do not need to be an expert in every platform.
However, you must be technically comfortable and able to learn unfamiliar software quickly.

Previous experience with online coaching, consulting, education, courses, agencies or high-ticket sales is a major plus.
Compensation
Compensation is $1,500–$2,000 USD per month, depending on experience and demonstrated ability.
Performance bonuses will also be available based on agreed company and department performance targets.
There is an opportunity for compensation and responsibility to grow as the company grows and the individual demonstrates their ability to manage larger parts of the operation.
Working Schedule
This is a full-time remote position based in the Philippines.
LEAP Mentality is based in California, so you must be willing to maintain an agreed schedule with meaningful overlap during U.S. Pacific Time.
The exact schedule will be discussed during the interview process.
Initial Training and Transition
You will not be expected to walk into the company and immediately understand everything.
Our existing systems are already built, and part of your onboarding will involve learning how those systems currently operate.
Your initial priority will be:
Learn → Document → Operate → Stabilize → Improve
We do not want someone coming in and immediately rebuilding systems simply because they prefer another platform or process.
First understand why the existing system works.
Then use data to recommend improvements.
First 30 Days
During your first 30 days, we will evaluate your ability to:
• Learn the existing system
• Understand our customer journey
• Operate Close CRM correctly
• Understand our automations
• Monitor Meta campaigns
• Produce accurate KPI reporting
• Communicate with our setter and closer
• Identify problems independently
• Follow through on responsibilities
• Communicate clearly with Coach Keinan
• Use AI effectively
• Keep the existing operation running smoothly
The first 30 days are about proving that you can take ownership of the system.
