Job Summary
We’re looking for a detail-oriented Sales Operations & Administration Specialist to support our commercial and logistics workflows from order to cash. This role is ideal for someone who enjoys combining administrative precision with operational execution — managing everything from quotations and order processing to inventory coordination and accounts receivable follow-up.
You’ll work closely with sales, warehouse, and finance teams to ensure smooth cross-functional operations, accurate documentation, and timely fulfillment. If you’re organized, proactive, and comfortable handling multiple responsibilities in a fast-paced environment, this role is a great fit.
What You Will Do:
1. Administrative Support
- Provide comprehensive daily administrative support, including drafting professional correspondence, maintaining structured electronic and physical filing systems, and ensuring all customer and supplier master data remains accurate and up to date.
2. Sales Operations & Quotations
- Manage end-to-end sales administration processes: prepare quotations and proforma invoices, process sales orders, and generate delivery notes to ensure seamless handover to the dispatch team.
3. Order Management & Fulfillment
- Accurately record and monitor incoming customer purchase orders.
- Track shipment status and proactively manage delivery schedules.
- Conduct regular inventory reviews to prevent stockouts and coordinate with the warehouse to ensure sufficient supply availability.
4. Logistics & Inventory Coordination
- Coordinate inbound and outbound logistics activities.
- Assist in monitoring inventory levels and support replenishment processes aligned with demand forecasting.
5. Billing & Accounts Receivable (AR) Support
- Manage the end-to-end billing process, ensuring invoices are issued accurately and on time.
- Monitor accounts receivable aging and follow up professionally on outstanding payments via email and phone.
